Privacy policy.
Last updated: 16 October 2026
This policy explains what personal information GJS Partners collects, why, and what rights you have over it. We keep it short because we collect very little.
Who we are
GJS Partners Ltd is a company registered in England and Wales (company number 15381542). We are the controller of the personal information described here. For anything relating to your data, email [email protected].
What we collect
When you send an enquiry through our website form, we collect your name, email address, phone number (if given), project location and the details you tell us about your project.
When you email or phone us, we keep your contact details and our correspondence with you.
When you become a client, we hold the information needed to deliver your project: contact details, the property address, project information, and invoicing and payment records.
If we have written to you about a planning application, we obtained your name and address from the publicly available planning register held by your local authority.
When you visit our website, we don't use cookies, analytics or tracking. Our hosting provider records basic technical information, such as IP addresses, in its server logs to keep the site secure.
Why we use it
We use your information to reply to your enquiry and prepare a quotation (steps taken at your request before entering a contract); to deliver and manage your project (performance of a contract); to keep accounting and tax records (legal obligation); and, where you are a property owner with a planning application, to write to you once about our services (our legitimate interest in finding new work, balanced against your interests — and you can ask us to stop at any time).
We never sell your information or share it with anyone for their own marketing.
Who we share it with
We use a small number of trusted service providers who process information on our behalf and only on our instructions:
- Cloudflare — website hosting and security
- Web3Forms — delivering website enquiries to our inbox
- Microsoft — email and document storage
- Xero — accounting and invoicing, for clients only
We may also share information with professional advisers, insurers, or HMRC and other authorities where we are legally required to.
Some of these providers may process data outside the UK. Where they do, the transfer is protected by UK adequacy regulations or approved contractual safeguards.
How long we keep it
- Enquiries that don't go ahead: up to two years from our last contact.
- Client and project records: up to twelve years after the project is completed, reflecting the limitation periods for construction contracts.
- Financial records: six years, as required by HMRC.
- If you ask us not to contact you, we keep your name and address on a do-not-contact list so that we can honour that request.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. You can object to marketing at any time and we will stop. To use any of these rights, email [email protected] — we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.
Changes
We will update this policy if the way we handle information changes. The date at the top shows when it was last revised.
